Description

This dataset provides a set of Excel templates and methodological documentation developed to standardize the registration, review, and deposit process of marine and oceanographic materials in AquaDocs. The data were created as part of the national training program for data depositors of the AquaDocs Panama Community, coordinated by the National Oceanographic and Marine Data and Information Center (NODC Panama) under the IODE–UNESCO framework. Each template was designed following FAIR data principles to ensure that information is Findable, Accessible, Interoperable, and Reusable. The dataset includes tools for the identification of materials, metadata recording, quality control, and tracking of deposited items. These templates can be reused or adapted by other AquaDocs communities or institutions interested in implementing FAIR-aligned workflows for data and publication management.

Steps to reproduce

How the data were obtained: The data were collected during the AquaDocs training course, where participants completed practical exercises on scientific data management and publication. User activity, responses to exercises, evaluation results, and comments were recorded automatically by the platform and through direct observation during sessions. Methods and protocols: Participants registered in OceanExpert to access AquaDocs. They completed exercises simulating data upload, validation, and metadata creation. Observations of user performance and notes on best practices were also recorded. Instruments, software, or workflows used: AquaDocs platform (2025 version) OceanExpert for user registration Computers with internet access Spreadsheets for consolidating performance data Data processing: Raw records were exported in CSV format, cleaned to remove duplicates or incomplete entries, and standardized for analysis of participation and performance. Reproducibility notes: Activities took place between October 1–15, 2025. Reproducing the study requires access to the same version of AquaDocs and an OceanExpert account.
